1. Introduction

This Privacy Policy explains how Zaela LLC (“Zaela,” “we,” “our,” or “us”) collects, uses, and shares personal information in connection with our website, dashboard, and AI-powered assistant products (collectively, the “Services”). It applies to two categories of individuals:

  • Business customers — owners and authorized staff of businesses that have an account with Zaela.
  • End users— individuals who interact with an AI assistant operated by one of our business customers (for example, a homeowner using a chat widget embedded on a business's website).

If you are an end user interacting with an assistant operated by a business, that business is the primary controller of the information you provide. Zaela processes that information on the business's behalf.

2. Information We Collect

From business customers

  • Account identifiers (name, email address) provided via authentication.
  • Business profile information (business name, contact details, service description, branding preferences, timezone).
  • Credentials you authorize us to store for integrations you explicitly connect (for example, calendar or mapping services). Where applicable, tokens are encrypted at rest.
  • Payment or billing information, if and when Zaela offers paid plans, handled through a third-party payment processor.

From end users

  • Information you provide during a conversation, which may include your name, phone number, email address, street address, and the substance of messages you send.
  • Information derived from information you provide, such as public data about a property associated with an address you share.

Collected automatically

  • Technical information such as IP address, device and browser type, and referring page.
  • Usage information such as timestamps, pages viewed, and actions taken within the Services.
  • Cookies and similar technologies required to operate the authentication session. We do not use advertising cookies.

3. How We Use Information

  • To provide, operate, and maintain the Services.
  • To authenticate users and secure accounts against unauthorized access.
  • To generate responses, recommendations, and actions in the course of an AI-assisted conversation.
  • To communicate with business customers about their account, updates, security, and support.
  • To monitor, analyze, and improve the reliability, quality, and safety of the Services.
  • To comply with legal obligations, enforce our agreements, and protect the rights, property, or safety of Zaela and others.

4. How We Share Information

We do not sell personal information. We share personal information only as described below:

  • Service providers. Third parties that support the Services on our behalf, including cloud hosting, database infrastructure, transactional email delivery, AI model inference, analytics, error monitoring, and payment processing. These providers are bound by contractual obligations to handle information only for the purposes we specify.
  • Integrations you authorize. When a business customer connects an external service (for example, a calendar provider), we exchange the information necessary to perform that integration.
  • Business customers. Information an end user provides during a conversation is made available to the business that operates the assistant, so that business can follow up with the end user.
  • Legal and safety. We may disclose information if required by law, legal process, or to protect rights, property, or safety.
  • Business transfers. In connection with a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to commercially reasonable protections.

5. AI Processing

The Services include conversational AI features. Inputs you provide (such as messages, names, phone numbers, or addresses) may be transmitted to third-party AI model providers to generate a response. Zaela selects providers that offer contractual commitments not to use customer inputs or outputs to train their general-purpose models. AI outputs may be inaccurate, incomplete, or out of date. Do not rely on AI outputs as a substitute for professional advice, and do not use the Services for decisions that require certified, licensed, or safety-critical judgment.

6. Retention

We retain personal information for as long as necessary to provide the Services, comply with legal obligations, resolve disputes, and enforce our agreements. When information is no longer needed, we delete or de-identify it in accordance with our internal retention schedule. Business customers may request deletion of their account and associated data by contacting us.

7. Security

We use administrative, technical, and physical safeguards designed to protect personal information, including transport-layer encryption, encrypted storage of sensitive credentials, access controls, and logical separation of customer data. No system is perfectly secure, and we cannot guarantee the security of information transmitted to or from the Services.

8. International Transfers

The Services are operated from the United States. If you access the Services from outside the United States, information you provide may be transferred to, stored, and processed in the United States or other jurisdictions where our service providers operate.

9. Your Choices and Rights

Depending on where you live, you may have rights under applicable privacy laws, including the right to access, correct, delete, or receive a portable copy of your personal information, or to object to or restrict certain processing. To exercise these rights, email info@zaelasolutions.com. We will verify your request before acting on it and respond within the time required by applicable law. We do not discriminate against you for exercising these rights.

If you are an end user and wish to exercise rights with respect to information collected through a business's assistant, please contact that business directly. We will assist that business as its service provider.

Zaela does not sell personal information and does not share personal information for cross-context behavioral advertising.

10. Children

The Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will take steps to delete it.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date above and, where appropriate, provide additional notice.
